SimplePractice data export and secure transfer guide.

Prepared for clients and providers, this guide explains how to export data from SimplePractice and securely transfer it for Clinician Companion migration support. Please follow each step carefully so the correct files are included and transmitted safely.

Important: Do not use public Wi-Fi, do not modify exported files before sending, and only use approved secure transfer methods when handling sensitive records.

Overview

This guide provides step-by-step instructions for exporting your data from SimplePractice and securely transferring it for migration. Follow each step in order and keep a backup of your exported files until your migration is confirmed.

Important notes before you begin

  • You must have full login access to your SimplePractice account.
  • Exporting data may take several minutes depending on size.
  • Files are typically exported in CSV or ZIP format.
  • Do not modify exported files before sending.
  • Ensure you are using a secure internet connection.
  • Do not use public Wi-Fi when handling sensitive data.

Log into SimplePractice

  1. Open your web browser.
  2. Navigate to simplepractice.com.
  3. Click Log In.
  4. Enter your username and password.
  5. Complete any two-factor authentication if prompted.

Once logged in, you should be on your dashboard.

Access data export settings

  1. Locate the navigation menu on the left side of the screen.
  2. Scroll to the bottom and click Settings.
  3. In the Settings menu, locate and click Practice Settings.
  4. Within Practice Settings, find and select Data Export.

If you do not see Data Export, look for one of these alternatives:

  • Export Data
  • Client List Export
  • Reports section, depending on account type

Select data to export

You will be presented with export options. Select all applicable data.

Recommended approach: export everything if possible.

  • Client demographics: names, contact information, dates of birth, IDs, and internal references
  • Appointments: scheduled sessions, past appointments, appointment types, and durations
  • Clinical documentation: progress notes, intake forms, treatment plans, and assessments
  • Billing and financial data: invoices, payments, insurance information, and CPT / billing codes when applicable
  • Files and attachments: uploaded documents, PDFs, and supporting records when available

If you are unsure what to select, choose all available options. It is better to export too much than to miss critical data.

Initiate export

  1. After selecting your data, click the Export button.
  2. The system will begin generating your export files.
  3. This process may take several minutes.

During processing:

  • Do not close your browser.
  • Do not refresh the page.

Download exported files

Once the export is complete:

  1. You will see a download prompt, or
  2. You will receive a notification within the platform.

Download all generated files.

File types may include:

  • .CSV for spreadsheet data
  • .ZIP for compressed folders containing multiple files

Verify your files

Before sending, confirm the following:

  • Files are fully downloaded
  • File sizes are greater than 0 KB
  • Files open without errors, if you choose to spot-check them
  • Multiple files are included if expected

Do not:

  • Rename files
  • Edit contents
  • Convert formats

Secure file transfer

You must send your files using a secure method only.

Approved methods:

  1. Secure upload portal: upload files directly through the provided secure link
  2. Encrypted file transfer: use a password-protected file sharing service
  3. Direct system upload: upload within Clinician Companion when available

Not recommended:

  • Standard email without encryption
  • Messaging apps
  • Public file-sharing links without access control

Confirmation

After sending your files:

  • Notify us that your upload is complete
  • Include your name and date of submission
  • Retain a backup copy of your files until migration is confirmed

What happens next

Once your files are received:

  • Data will be securely processed
  • Files will be parsed and structured
  • Information will be imported into the new system
  • You may be contacted if clarification is needed

Security and compliance notice

All data is handled in accordance with applicable privacy and security standards, including HIPAA where applicable. Sensitive data should only be transmitted through approved secure methods.
